Guidelines for Community Events
Community Fundraising Events benefiting Children's Hospital Los Angeles should keep in mind the Children's Hospital mission, vision and values. We reserve the right to deny applications for fundraising activities that do not project a positive image of Children's Hospital Los Angeles.
Guidelines
- Event hosts must complete and submit a Community Fundraising Events Application no less than four weeks prior to the proposed fundraising activity. Approval will be granted on a per event basis. Please allow a minimum of five days for approval.
- The official name of the organization is Children's Hospital Los Angeles. It may not be altered or abbreviated. Event names may not incorporate the name, as in "Children's Hospital Los Angeles Swimathon," but may use a second line identifying the relationship with Children's Hospital, such as "Smith School Swimathon, benefiting Children's Hospital Los Angeles."
- If the logo of Children's Hospital Los Angeles is provided to you for use in conjunction with your event, it may not be altered in typeface, color, configuration and/or position. Any use of the Children's Hospital Los Angeles logo must adhere to established graphic standards.
- Children's Hospital must review and approve all promotional materials, including but not limited to: advertising, letters, brochures, flyers, press releases and website content prior to production or distribution.
- While planning your event, please limit expenses to 50 percent of the total raised by the event.
- All promotional materials must clearly state the percentage of proceeds and/or the portion of the ticket price that will benefit Children's Hospital.
- Children's Hospital must receive all net proceeds within 30 working days of the conclusion of the event and/or promotion.
- Children's Hospital should receive a list of targeted sponsors of $5,000 or more for the event, before they are approached, to minimize overlap with other fundraising campaigns underway by the hospital.
- Children's Hospital and all related entities are not liable for any injuries sustained by event hosts, volunteers or participants related to an event benefiting Children's Hospital, and cannot assume any type of liability for your event.
- The event organizer is responsible for obtaining any required permits. The organizer should also obtain a certificate of insurance for their event.
To Support Your Event, Children's Hospital Can:
- Offer advice on event planning
- Provide a letter of authenticity
- Provide tax receipts, in accordance with IRS rules and regulations, to donors who make checks payable to "Children's Hospital Los Angeles"
- Provide participant and in-kind "thank you" letters (will not contain any tax information)
- Post your event on the Children's Hospital Events Calendar and send an email blast to all hospital employees
To Support Your Event, Children's Hospital Cannot:
- Guarantee on-site staff, physicians, patients or volunteers at event
- Share hospital mailing lists, including donors, physicians, employees or volunteers
- Provide funding or reimbursement for expenses
- Provide insurance coverage
- Provide celebrities or professional athletes for your event
- Sign contracts
- Solicit or provide auction items or prizes
